Privacy Policy

Axion (“we”, “us”) provides a conversational-intelligence platform for WhatsApp. This policy explains what personal data we process, why, and the choices you have. It applies to our website and product.

1. Data we collect

  • Account data — name, work email, organisation, and role, when you or your administrator create an account.
  • Conversation data — the messages exchanged with an Axion agent and the structured fields extracted from them, processed on behalf of the business operating the workspace.
  • Usage data — logs, device and browser information, and product analytics used to operate and improve the service.
  • Contact data — information you submit through demo requests or support enquiries.

2. How we use data

  • To provide the service — qualifying, scoring, and routing conversations for the business that operates the workspace.
  • To secure, monitor, and improve the platform, including auditing administrative actions.
  • To communicate with you about your account, support, and — where permitted — product updates.

3. Roles: controller and processor

For conversation data processed inside a client workspace, the client business is the data controller and Axion acts as a processor under their instructions and our Data Processing Agreement. For our website and account administration, Axion is the controller.

4. Sharing

We do not sell personal data. We share it only with sub-processors that help us run the service (for example, cloud hosting and model providers), under contract and only as needed. A current list is available on request.

5. Retention

We retain personal data for as long as needed to provide the service and meet legal obligations, then delete or anonymise it. Clients can configure retention for conversation data within their workspace.

6. Security

We apply encryption in transit, strict tenant isolation, role-based access control, and audit logging. See our Security page for detail.

7. Your rights

Depending on your jurisdiction, you may have rights to access, correct, delete, or port your personal data, and to object to certain processing. Contact us to exercise them.

8. International transfers

Where we transfer data across borders, we rely on appropriate safeguards such as standard contractual clauses.

9. Changes

We may update this policy; we'll post the new version here and update the date above.
